10 Tips for Choosing the Right Photographer for your Event

Are you in need of a photographer to capture your next business conference, cocktail party, wedding, or company retreat? If you’ve just recently started searching for one, you’re probably understanding exactly what a challenging job it can be, as there are thousands of professional photographers to select from. Here are some suggestions to bear in mind when selecting your next occasion photographer.

Decide how much you want to spend|your budget}.
This is the initial step in narrowing down your choices for a professional event photographer. When determining your budget, remember the length of your event. Is it a four-hour reception or a five-day conference? If you’re on a very tight budget, you may need to think about hiring a good friend or family hobbyist to photograph your event. If you choose this route don’t expect the best results if you decide not to hire a professional event photographer who brings both expertise and experience.

Choose your photographic style.
Exactly what are these pictures going to be used for? Most events are being photographed for historic purposes, to get a general catalog of the occasion participants, speakers, and entertainment. This usually also includes the timeless positioned, smiling shots which are great to have as keepsakes of your occasion. If you’re going to be using the images for other purposes such as marketing collateral for use in websites and sales brochures, then you may wish to have the photographer shoot in a slightly different, more commercialized way.

Ask friends and family for references.
Word of mouth can still be one of the very best ways to learn about well-respected professional photographers in your area. If you do wind up calling a photographer that was referred to you, make sure to mention your connection when you introduce yourself. You never know, you might even get a discount for being a referral.

Search online and read online reviews.
Now it’s time to visit Google. Check customer ratings to make sure the photographer has an excellent reputation. Also, look at the photographer’s website to get a feel for who they are and their typical photographic style. If they have a poorly looking website you’ll need to proceed with great caution as they may not be as knowledgeable as other event photographers in the area.

Look through their portfolio before choosing them.
These days most photographers have at least a portion of their portfolio on their web site, making it extremely simple to examine their previous work. You can always ask if they have other samples of work or a album of photographs to skim if that makes you more comfortable. When taking a look at their portfolio, take note of the kinds of shots they take, how well they photograph the event venues, in addition to how vibrant they can be with their photography.

Find out about their experience of photographing events of around the same size as yours.
Let them know how many people you are anticipating at your event, and ask if they have much experience handling events of this size. Ask exactly what they thought was challenging and/or intriguing about working an event of that size. Feel them out to ensure they can manage your event comfortably. Listen to any issues they may have.

Get a feel for the types of events they have the most experience with.
If you’re considering contracting with a photographer for your event, you’ll want to make sure they have at least some experience dealing with similar events. If you’re planning a corporate leadership summit and they have only covered weddings and family events, they may not be the ideal fit for your event. Their portfolio should tell you enough for you to determine this, however if not, just ask them the number of similar events they have covered.

Ask how long it will take to develop the images.
Unfortunately, many photographers may take terrific pictures, however when it comes down to delivering hard copy photos or retouching digital images, they take way too long to finish the job. This is why it is critical that you ask your photographer how quickly they can develop your photos or re-touch your digital images. It’s best to obtain this agreement in writing to secure your investment.

Make sure you have excellent rapport with your photographer.
Finally, it’s essential that you feel a great rapport between yourself and your photographer given that you will be working with them for the duration of your event. Do you feel good about the photographer’s artistic skills? Are they easy to speak with and do they freely respond to all your concerns? Bear in mind they will also be communicating with your event’s guests on some level, so you’ll need to make sure they are generally a friendly individual with great social skills. As soon as you have addressed all the above details, it’s time to hire your photographer!

Meet prior to the event and review expectations.
Now that you have decided on your photographer, you should prepare to consult with them prior to the event so that you can go over your expectations along with any specifics you want them to cover. For example, let them know if you would like them to take photographs of the event area before your guests show up. also, tell them where the VIP visitors will be so that they can get a lot of photographs of this group at your event. Give them a run-down of the event schedule so they know all the main aspects to photograph.
